1. Who handles information
Nabrimar Systems LLC operates Nabrimar Sign and Nabrimar AMS. We handle account, security and billing information to operate our business. For documents and recipient information submitted by a customer, that customer generally determines the purpose and we process the information to provide the requested service. Contact the sender about the contents or purpose of a document; contact Nabrimar about platform privacy or access concerns.
2. Information collected and its sources
You and your organization provide names, contact details, business and billing addresses, account settings, documents, recipient details and support communications. Signing records may include typed names or signature drawings, consent, document identifiers and hashes, timestamps, IP addresses, browser information and access events. Account authentication uses protected password representations and verification tokens. Payment providers return transaction references and payment status. A sender can provide your contact information even if you do not have a Nabrimar account.
3. Purposes and legal grounds
We use information for account creation, authentication, document delivery and signing, evidence, billing, support, fraud prevention and legal obligations. Where applicable, legal grounds include performing a contract, compliance with law, legitimate interests in securing and operating the service balanced against individual rights, and consent when required. Customers must establish their own lawful grounds for the documents they submit, including any required authorization for sensitive information. Accepting Terms is not blanket consent to unrelated marketing.
4. Recipients and service providers
Documents and evidence are available to the relevant sender, recipients and authorized workspace users according to the workflow. Infrastructure, storage, email and payment providers process information needed for their functions. The application integrates Render hosting, AWS storage and email services, and Helcim payments; the applicable setup depends on the service and configuration. Optional connected applications receive information when their workflows are used. We may disclose information to comply with law, protect rights or respond to security incidents. Confidential document contents are not licensed to third parties for their advertising by these Terms.
5. AI features
When an authorized user sends selected content to Nabrimar AI, the request can be processed by the configured OpenAI service. Do not include information you lack authority to send or regulated information in an unapproved configuration. Provider contracts and configuration govern provider retention and permitted processing; this notice does not claim that every account has zero retention or a healthcare-approved AI configuration. AI suggestions require human review.
6. Cookies, browser storage and choices
The application uses cookies and browser storage for sessions, security and preferences such as language. Blocking required storage can prevent login or signing. Any optional tracking or advertising technology requires its own applicable disclosures and choices; this notice does not authorize it automatically. Service messages such as signing requests, security notices and receipts are distinct from promotional communications.
7. Retention and deletion
We retain information for the service relationship and as needed for transaction evidence, accounting, security, dispute resolution and applicable legal obligations. The relevant record type, customer instructions, contract, legal hold and configured storage retention determine the period. Some document or audit storage may be locked against deletion until its retention period expires. Closing an account does not immediately erase every record or backup. Ask us for the retention applicable to your records and assistance with an export or deletion request.
8. Security and sensitive information
Access controls, authentication, encryption and audit features support security, but no system is risk-free. Do not share private signing links. Do not submit protected health information without the required agreements and approved configuration. Report a suspected security incident through our contact channel; do not include passwords, payment-card details or medical documents in an initial email. We will assess incidents and provide notices when legally required.
9. International processing
The service uses cloud infrastructure and providers that may process information in the United States or other locations. A globally accessible website is not a promise of local data residency. Before processing that requires a data-processing agreement, an international transfer mechanism, local representative or other country-specific measure, those arrangements must be established. These Terms alone do not create Standard Contractual Clauses, a Data Privacy Framework certification or local regulatory approval.
10. Privacy requests and children
Depending on applicable law, you may have rights to access, correct, export, delete or restrict information, object to processing, withdraw consent, appeal a decision or complain to a supervisory authority. Contact us to submit a request; we may verify identity and coordinate with the customer responsible for a document. Legal retention and others’ rights may limit a request. We do not penalize the exercise of applicable privacy rights. Account purchasing is intended for adults with legal capacity, not children. Tell us if a child’s information has been submitted improperly.
11. Changes to this notice
We identify changes with a new version and provide notice or seek consent when required. Historical versions remain available for reference. Contact us for questions about this notice, our service providers or applicable privacy arrangements.
